How to stop client no-shows

A no-show costs you twice: the empty slot you can't refill on short notice, and the client who would have taken it. If it happens often enough, you start overbooking to compensate — which creates its own problems. The usual advice is "send more reminders." That treats a no-show like a memory problem. Most of the time it isn't. It's a commitment problem: a free, frictionless booking is easy to make and just as easy to abandon.

The fix is to make the booking mean something at the moment it's made, and to make an empty slot cheap to refill when it happens anyway. Here's how we think about it.

1. Make "booked" actually mean booked

A lot of no-shows aren't really shows that didn't happen — they're bookings that were never solid in the first place. Two people grab the same time. A slot gets picked while another request is still open. Somebody is told "you're all set" against a time that was already gone.

2. Keep one schedule that is never out of date

Half of the no-show problem is really a stale-availability problem: a time gets offered that you can't actually work, or the same slot goes out twice, and the client who turns up to a mess is the client who stops turning up.

4. Have someone ready to take the slot

The other half of the problem is recovery. If a slot opens up, the question is how fast you can put someone else in it. Keeping a waitlist — clients who wanted a time you didn't have, with the window they'd accept — turns a cancellation into a phone call instead of an empty hour. 5. Consider a deposit policy
